ACCOUNTING SPECIALIST

JOB SUMMARY: 

This is a full-time non-exempt position.  The employee in this position assists with the maintenance of financial records including payroll, accounts receivable and payable, budget, grants, and other accounting records.

​

Salary Range: Starting at $34,00.00

 

ESSENTIAL JOB FUNCTIONS:

 

ACCOUNTING & PAYROLL

  • Maintain personnel time and activity sheets and expense reports.

  • Assist with the preparation of payroll, payroll reports, taxes (state and federal - monthly quarterly and year end).

  • Assist with deposits and preparation of invoices to be paid.

  • Assist with the preparation of information for external and internal audits.

  • Assist with preparation of monthly financial reports.

GRANTS

  • Assist with financial grant reports.

  • Organize and file grant documentation.

  • Record asset purchases and disposals for grant purposes.

  • Assist with record keeping and filing of permanent documents, etc.

 

OTHER

  • Assist employees and the public in a professional manner.

  • Maintain a positive work atmosphere by acting and communicating in a manner so the employee gets along with the public, coworkers, and management.

  • Being pleasant, respectful, and civil with others on the job and displaying a good-natured, cooperative attitude.

  • Maintaining composure, keeping emotions in check, controlling anger, and avoiding aggressive behavior, even in very difficult situations.

  • Obligation to be reliable, responsible, dependable, and fulfill duties.

  • Must show up for work on a regular and predictable basis as scheduled.

  • It is imperative to practice self-care due to vicarious and secondary trauma staff may incur. Employees are requested and expected to take care of themselves. SOS will assist with wellness tools for group and individual settings.

 

INTERMITTENT DUTIES:

  • Attend Finance Committee meetings.

  • Attend All Staff meetings.

  • Assist in developing and maintaining finance policies.

  • Other duties as assigned by the SOS Executive Director, including complying with grant goals and objectives, but not limited to, informing crime victims of their statutory rights and assisting crime victims in seeking available compensation.

QUALIFICATIONS:

  • Must possess a valid Kansas Driver’s License and auto insurance.

  • EDUCATION:  High school diploma, G.E.D. or equivalent required.  Two years of post-secondary education leading to an Associate Degree in Business Administrative Technology or equivalent experience desirable.

  • EXPERIENCE: Five years of general office duties preferred. The Accounting Specialist is expected to perform in a satisfactory manner after twelve months on the job.

  • KNOWLEDGE:  Must have the ability to receive, interpret and follow verbal and written instructions.  Required to read, write, and speak English fluently with the ability to speak a foreign language helpful. 

  • SKILLS: Proficient level use of Microsoft programs such as Word, Excel, and Outlook, copier, and fax machine; excellent mathematical skills, written and oral communication, people, organization, and time management skills; an ability to maintain confidentiality along with representing the agency in a positive and professional manner. 

    • Problem Solving: Frequent problem solving occurs in this position. It requires the ability to evaluate alternatives to resolve disputes.

    • Decision-Making: Frequent situations occur that are outside established policies and procedures and require astute judgment.

    • Deductive Reasoning: The ability to apply general rules to specific problems to produce answers that make sense.

    • Inductive Reasoning:  The ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).

    • Supervisory: None. 

    • Interpersonal: Frequent contact with other departments, SOS employees, government agencies, and the public.  Ability to work with a diverse group of people to be as inclusive as possible and as indicated in the SOS Employee Handbook.

    • Financial/Budgetary: Involves considerable fund transactions and assists with the preparation and monitoring of the department budget.

    • Working Conditions: Subject to work voluntary overtime and subject to voluntary call-in.

PHYSICAL REQUIREMENTS: Ability to lift up to 15 pounds occasionally and up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. May be assigned to multilevel building with some floors accessible by stairs only. Requirements of moving about the office. Sit approximately 90% of the time.  Frequently express ideas by spoken words. Frequently operate equipment requiring moderate ability.

HELPLINE/SHELTER SUPPORT STAFF

JOB SUMMARY: 

The Helpline/Shelter Support Staff is the immediate response to the helpline. The Helpline/Shelter Support Staff provides assistance to victims and their survivors in immediate crisis and/or danger. They must quickly assess caller’s safety; by providing immediate resources, support, information, and appropriate referrals. The Helpline/Shelter Support Staff obtains pertinent information from callers and relays information to the on-call advocate and/or Crisis Services Director. The Helpline/Shelter Support Staff has an understanding of sexual and domestic violence, stalking and human trafficking

 

ESSENTIAL JOB FUNCTIONS:

 

WORK DIRECTLY WITH CLIENTS

  • Provide crisis and emergency support, information, and referrals to victims and their survivors, with follow up support provided as appropriate.

  • Provide factual and unbiased information to clients regarding law enforcement, medical, and legal procedures.

  • Provide support services and inform victims and their survivors of available community resources.

  • Participate, as appropriate, in family (resident) meetings and or lead resident activities that promote communication, age-appropriate activities and positive role modeling.

BASIC HELPLINE/SHELTER SUPPORT SHIFT DUTIES

  • Find a replacement if unable to work.  Helpline staff is listed on the phone directory.

  • Provide written report of activity on shift to the next shelter staff or Crisis Services Advocate on the next business day.

  • Provide a welcoming environment to survivors entering the shelter. Assist with room preparations including hygiene materials, intake and exit paperwork, as appropriate.

  • Maintain a clean, comfortable shelter.

 

MAINTAIN SHELTER SECURITY

  • Comply with all SOS policies and procedures, ensuring that they do not engage in activities that jeopardize their own integrity or safety, the integrity or safety of a client, or the integrity of any SOS program.

  • Refrain from giving legal or medical advice to clients and from representing themselves as a mental health counselor.

ADMINISTRATIVE/CONTINUING EDUCATION

  • Attend all scheduled training and in-service sessions.

  • Attend monthly meetings.

  • Other duties as assigned by the SOS Executive Director, including complying with grant goals and objectives, but not limited to, informing crime victims of their statutory rights and assisting crime victims in seeking available compensation.

 

OTHER

  • Assist SOS employees and the public in a professional manner.

Demonstrate a client-focused environment/approach that encourages empowerment of all clients. Must have the ability to receive, interpret and follow verbal and written instructions. Required to read, write, and speak English fluently. The ability to speak Spanish is beneficial but not required.

  • SKILLS: Desirable skills include but not limited to:

    • Communication: Possess good listening skills, strong writing, and oratory skills.

    • Decision-Making: Frequent situations occur that are outside established policies and procedures and require astute judgment.

    • Deductive Reasoning: The ability to apply general rules to specific problems to produce answers that make sense.

    • Office Technology: Operate personal computer with a proficient level use of Microsoft programs such as Word, Excel, and Outlook, printer, and copier.

    • Problem Solving: Frequent problem solving occurs in this position. It requires the ability to evaluate alternatives to resolve disputes.

    • Public Relations: An ability to represent the agency in a positive and professional manner.

    • Supervisory: None.

    • Other: Mathematical, analytical, planning, organizational, and time management.

    • Working Conditions: Availability to work shifts including evening, weekends, and holidays.

PHYSICAL REQUIREMENTS: Ability to lift up to 15 pounds occasionally and apply up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Requirements of moving about the building and sitting/standing at desk.  Frequently express ideas verbally and in writing.
